Send Bulk Email to Associated Contacts from Companies and Custom Objects

You can send bulk emails to contacts associated with selected Company or Custom Object records, directly from the record list. This lets you build an audience from associations without recreating the same segment in Contacts.

Overview
The Send email bulk action lets you select multiple Company or Custom Object records and email the Contacts associated with them.
For Custom Objects, you can choose which association label(s) should be used to identify recipients and whether the email should go to:
- Most recently associated contact
- Earliest associated contact
- All associated contacts
You can also use Company or Custom Object fields as merge fields in the email, allowing the message to include information from the record the Contact is associated with.
The experience follows the same bulk email flow already used for Contacts, including composing, scheduling, batch sending, testing, tracking, and reporting.
Prerequisites and Limitations
Before using the bulk action:
- The selected Company or Custom Object records must have associated Contacts
- For Custom Objects, an association with Contacts must already exist
- Send email only appears for Custom Objects that have a Contact association
- Existing email permissions, consent requirements, plan restrictions, and deliverability rules continue to apply
- The exact recipient list is resolved when the bulk action runs
- Contacts selected through multiple association labels are de-duplicated and receive only one email
- Contacts without an eligible email address, or those restricted by email settings, may be skipped
- For Companies, the Contact association is automatically selected
How to Send Bulk Email to Associated Contacts
Step 1: Select the Records
Open Companies or the required Custom Object and select the records whose associated Contacts you want to email.
You can use filters or Smart Lists first to narrow the list to a specific segment.

Step 2: Click Send Email
From the bulk action bar, click Send email.
A confirmation screen shows how many Company or Custom Object records are selected.
The final recipient list is determined from their associations when the bulk action runs.

Step 3: Choose the Association
For Custom Objects, select one or more Association labels to define which associated Contacts should receive the email.
For example, a Property may have association labels such as:
- Potential Buyer
- Property Owner
- Tenant
Selecting Potential Buyer ensures the email is sent only to Contacts associated through that relationship.
For Companies, the Contact association is selected automatically.

Step 4: Choose the Email Recipients
Under Email recipients, choose:
- Most recently associated contact to email one Contact per selected record
- Earliest associated contact to email one Contact per selected record
- All associated contacts to email every Contact matching the selected association labels

Step 5: Compose the Email
Configure the email using the same options available in Contact bulk email:
- From name and email
- Subject
- Pre-header
- Quick Compose
- Smart Builder
- Existing email templates
- Attachments
- Test emails
You can use both Contact merge fields and fields from the selected Company or Custom Object.
For example, a Property email could include:
We have an update regarding {{custom_objects.properties.property_name}}

Step 6: Choose When to Send
Choose one of the available delivery modes:
- Send all at once
- Send at a scheduled time
- Send in batch mode
Configure any additional settings and confirm the required consent checkbox before sending.
Step 7: Track Results
Track progress from Bulk Actions.
The Bulk Email Stats view includes:
- Accepted
- Delivered
- Opened
- Clicked
- Replied
- Unsubscribed
- Complained
- Bounced
- Failed
- Skipped

Use Cases
1. Email Potential Buyers About Selected Properties
Filter a Property Smart List, select the relevant listings, choose the Potential Buyer association label, and email the associated buyers with property-specific information.
2. Send Policy Renewal Communications
Select Policies approaching renewal and email their associated Policy Holders, while including fields such as policy number, renewal date, or premium in the message.
3. Communicate with Contacts at Selected Companies
Filter Companies by industry, lifecycle stage, owner, or account tier and send a bulk email to their associated Contacts.
4. Contact Pet Owners
Select Pet records and email the associated owners with treatment reminders, appointment information, or other pet-specific details.
5. Email a Smart List Segment
Create a Smart List using Custom Object or Company filters, select the records in the segment, and email their associated Contacts without rebuilding the segment under Contacts.
