Client Portal Appointments gives clients a convenient way to book, review, and manage appointments without leaving the HighLevel Client Portal. Clients can see upcoming and past appointments, use calendar-based views, select from available calendars, and book new appointments with fewer steps. Businesses remain in control by deciding which calendars are available for Client Portal booking and whether the Appointments app appears in the portal.

What is Client Portal Appointments?


Client Portal Appointments brings scheduling directly into the Client Portal, reducing the need for clients to use separate booking links or confirmation emails. Once enabled, clients can access their appointments and available booking options from the portal navigation.

Clients can:

  • View appointments under Today, Upcoming, and Past.
  • Switch between calendar views.
  • Book new appointments.
  • Select from one or multiple enabled calendars.
  • Reschedule or cancel eligible appointments.
  • Book another appointment after a completed appointment.

The Appointments experience is part of HighLevel's unified Client Portal, which brings customer-facing resources into a connected navigation experience.

View and Manage Appointments


Appointment views help clients quickly find upcoming bookings, review past activity, and manage appointments without searching through emails. Available management actions depend on the appointment and calendar settings configured by the business.

Clients can use Today, Upcoming, and Past views to organize their appointments and use calendar views to find bookings by date.

For eligible appointments, clients can also:


  • Reschedule an appointment.
  • Cancel an appointment.
  • Book another appointment after a completed appointment.

Booking Appointments from the Client Portal


The Client Portal booking flow allows clients to select an available calendar and book a time without leaving the portal. When more than one calendar is enabled for Client Portal booking, clients can choose the appropriate calendar before selecting a date and time.


To book an appointment, the client:


  1. Selects Book Appointment.

  2. Chooses an available calendar.

  3. Selects a date.

  4. Chooses an available time.

  5. Completes the booking.

Existing client contact information is automatically filled during the booking process.

Available dates and times depend on the selected calendar's scheduling and availability settings. For more information, see Adjusting Availability Settings for Individual Calendars.



Using Multiple Calendars for Client Portal Booking


Enabling multiple calendars gives clients a choice of booking options while allowing businesses to decide exactly which calendars should be available through the portal. This is useful when different calendars represent services, team members, appointment types, or other scheduling needs.


Client Portal booking is enabled individually for each calendar. You can enable one calendar or repeat the process for multiple calendars.

This is different from a Group Calendar. Group Calendars combine multiple individual calendars into a separate grouped booking experience under one link, while Client Portal Appointments can make multiple eligible calendars directly available through the Client Portal calendar selector.


You do not need to create a Group Calendar solely to make multiple individual calendars available for Client Portal booking.

How To Setup Client Portal Appointments


Client Portal Appointments requires configuration in both the calendar and Client Portal settings. Enabling only one of these areas can prevent clients from seeing a calendar or accessing the Appointments app, so complete both parts of the setup before sharing the experience with clients.


Step 1: Enable Client Portal Booking for a Calendar


  1. Go to Calendars → Calendar Settings.


  2. Locate the calendar you want to make available and open it for editing.


  3. Open Advanced settings select Booking channels and toggle on Client Portal booking.
  4. Click Save changes.



  5. Repeat these steps for every additional calendar you want clients to choose from.

Step 2: Enable Appointments in Client Portal App Permissions


  1. Go to Memberships → Client Portal. Open Settings. Select App Permissions.



  2. Enable Appointments and Click Save Settings.



App Permissions controls which child apps are visible to contacts in the Client Portal and is configured at the sub-account level. Changes to child-app visibility apply to contacts using that sub-account's Client Portal.


Important: Enabling Appointments in App Permissions makes the Appointments feature available in the Client Portal. Each calendar that clients should be able to book must also have Client Portal booking enabled.

Frequently Asked Questions


Q: Why can my client see Appointments but no calendar is available for booking?
A: Verify that Client Portal booking is enabled under Advanced settings → Booking channels for at least one calendar. Enabling the Appointments child app and enabling individual booking calendars are separate configuration steps.

Q: Can I make only certain calendars available in the Client Portal?
A: Yes. Client Portal booking is enabled at the individual calendar level, so you can choose which calendars should be available and leave others disabled.

Q: Do I need to create a Group Calendar to offer multiple calendars?
A: No. Multiple individual calendars can be enabled for Client Portal booking. Group Calendars are a separate HighLevel feature for combining calendars into a grouped booking experience.

Q: Why does a calendar appear but a particular time slot does not?
A: Available slots depend on the calendar's scheduling configuration and conflicts. Availability, minimum scheduling notice, buffers, existing bookings, calendar conflicts, appointment limits, and other rules can prevent a slot from being offered.

Q: Why can't a client cancel or reschedule an appointment?
A: The appointment may not be eligible for that action. Review the calendar's cancellation and rescheduling settings, including any configured time limits that restrict changes close to the appointment start time.

Q: Are Client Portal App Permissions configured separately for each client?
A: No. App Permissions are configured at the sub-account level, and changes to child-app visibility apply to contacts using that sub-account's Client Portal.

Q: Why doesn't the booking page show a time-zone selector?
A: Review the sub-account's contact time-zone configuration. HighLevel provides a Disable Contact Timezone setting that removes the contact's ability to select another time zone when scheduling.
