What is Enhanced Number Pool Management?


Enhanced Number Pool Management refers to the new set of tools and controls for handling phone numbers within HighLevel’s visitor tracking system. These improvements allow you to move, remove, delete, and assign phone numbers between pools and the general number list, providing greater flexibility and efficiency for campaign management.

Note: These changes currently apply only to number pools created for visitor activity tracking (typically 4–8 numbers).

How To Access Number Pool Management Features

Follow these steps to access the new features:


Step 1: Navigate to Number Pools


  1. Navigate to Settings from your account.



  2. Click on the Phone Numbers tab.



  3. Select the Number Pools option under Manage Numbers.



Step 2: Access Number Pool Info


  1. Click on the three dots beside the Number Pool you want to manage.

  2. Click on Number Pool Info.


What are the New Number Pool Management Features


After opening Number Pool Info modal, these are the new management options available:


1. Transfer to a Different Number Pool


  1. Locate the number you wish to move to a different pool.

  2. Click the Transfer to a Different Number Pool button.



  3. From the Select Destination dropdown, select the pool you want to transfer the number to.

  4. Click on Move.



2. Move to Phone Numbers


  1. Find the number in the desired pool.

  2. Click on the Move to Phone Numbers button.

  3. The number will be returned to the general number list without deleting it.



3. Remove and Delete Number


  1. Choose the number you want to delete.

  2. Click the Remove and Delete Number button.

  3. Only the selected number is removed from the pool and deleted.



4. Add a Number to a Pool from the General List


  1. Go to Phone Numbers under Manage Numbers.



  2. Click on the three dots beside the number you want to add to a pool.

  3. Click on the Add to Existing Number Pool button.



  4. From the Select Destination dropdown, and choose the desired pool.

  5. Click on the Add to Number Pool button.


Audit Logging


Audit logging records every action taken within number pools, providing a transparent history for compliance and troubleshooting.

 

  • Track who moved, removed, or deleted numbers.

  • Review timestamps and details for each action.

  • Use logs to resolve disputes or investigate issues.

Once a number is deleted, it cannot be restored. Only numbers removed (not deleted) can be reassigned.

Removing a number only changes its pool assignment; it does not delete historical tracking data.


Q: How do I know who made changes to a number pool?

All actions are recorded in the audit log, including the user, action, and timestamp.


Q: What happens if I delete a pool?

Deleting a pool removes all numbers within it. To keep numbers, move or remove them before deleting the pool.
