By using video engagement as a workflow trigger, you can automate follow-ups, segment viewers, prioritize engaged leads, and create actions based on viewing behavior. What is the Video Tracking Trigger in Workflows?


The Video Tracking trigger starts a workflow based on a contact's video-viewing activity. It can evaluate how much of a video a contact watched and use that engagement data to determine whether the contact should enter the workflow.


The Video Tracking trigger can be used to automate follow-ups based on video engagement. For example, you can contact viewers who watched a significant portion of a video, identify highly engaged leads, or follow up with contacts who stopped watching before completing the video.


Before configuring the trigger, make sure your hosted video is prepared for progress tracking.

How to Set Up the Video Tracking Trigger


Correctly configuring the Video Tracking trigger ensures that contacts enter your workflow only when their viewing activity meets the conditions you define. Filters are optional, so you can keep the trigger broad or combine multiple conditions for a more targeted automation.


  1. Log in to your HighLevel account.

  2. From the left navigation menu, go to Automation > Workflows.

  3. Create a new workflow or edit an existing workflow.



  4. Use the Standard Builder or Advanced Builder, depending on your preferred workflow-building experience.

  5. Click + Add New Trigger.


  6. Search for Video in the trigger selection panel.

  7. Select Video Tracking.


  8. Update the workflow or trigger name if needed so its purpose is easy to identify later.

  9. You can save the trigger without adding filters, or add one or more of the following filters to narrow when it should run:

    • Funnel

    • Video

    • Video Duration (%)

  10. Configure the filters required for your use case. Filters can be used individually or combined.

    For example, you could select one or more funnels and set Video Duration (%) to Greater than 30. Contacts whose activity matches those conditions can then continue through the workflow.

  11. Click Save Trigger.

  12. Add the downstream workflow actions you want to perform after the trigger runs. For example, you could send an email, update contact information, assign a lead, or continue with other workflow actions.


Video Tracking Trigger Filters


Filters let you control which video-viewing events qualify for the workflow. The Video Tracking trigger has three primary filters, and none of them are mandatory. You can use a single filter, combine multiple filters, or leave the trigger unfiltered depending on the automation you are building.

Example 1: Webinar Follow-ups


Suppose you host a webinar containing a pre-recorded video presentation.


  • Trigger: Run when a viewer watches 50% of the video.

  • Action: Send a personalized email thanking the viewer and sharing additional resources related to the content.

  • Trigger: Run when a viewer watches 100% of the video.

  • Action: Send a different follow-up inviting the viewer to schedule a consultation or providing a relevant offer.


This approach lets you nurture contacts differently based on their level of engagement with the webinar content.


Example 2: Lead Scoring


Video-viewing milestones can also be used as engagement signals in a lead-scoring strategy.


  • Trigger: Run when a viewer watches 25% of the video.
    Action: Add 10 points to the viewer's lead score.

  • Trigger: Run when a viewer watches 50% of the video.

  • Action: Add another 20 points to the viewer's lead score.

  • Trigger: Run when a viewer watches 75% of the video.

  • Action: Add another 30 points to the viewer's lead score.


Giving higher scores to contacts who watch more of the video can help your team identify and prioritize more engaged leads for follow-up.


Example 3: Abandoned Video Tracking


You can also use viewing activity to identify contacts who stop watching before completing a video.


  • Trigger: Run when a viewer watches less than 50% of the video.

  • Action: Add the contact to a segment for abandoned video viewers.

  • Action: Send a follow-up email containing a link to the video and encourage the contact to continue watching.


This type of workflow can help re-engage contacts who showed interest in the content but did not finish the video.

Q: When is the video tracking information sent to the workflow?

The viewing data is sent to the workflow when the contact closes or completes the video.

Q: What happens if I do not add a Video Duration (%) condition?

If no Video Duration (%) condition is configured, the trigger can run when the contact closes the video or completes it, regardless of the percentage watched.

Q: How do I trigger a workflow after a contact has watched at least a certain percentage of a video?

Use the Greater than or Equal to operator. For example, if you want the condition to match contacts who have watched at least 20% of a video, configure Video Duration (%) as Greater than or Equal to 20 rather than using Equal to.


Q: Do I need to configure all three Video Tracking filters?

No. Funnel, Video, and Video Duration (%) are optional filters. You can use one filter, combine multiple filters, or configure no additional filters depending on the behavior you want to automate.

Q: Can I track multiple funnels or videos with the same trigger?

Yes. The Funnel and Video filters support conditions such as Is any of and Is none of, allowing you to include or exclude the applicable funnels or videos.
