How to Share Snapshots

Modified on: Wed, 10 Dec, 2025 at 10:36 AM

Snapshots can be shared to new and existing sub-accounts. We'll cover how to share a snapshot with another sub-account and how to use them with SaaS mode so new sub-accounts will be created with the snapshot you define instantly.

What is Snapshot Sharing?

Snapshot Sharing is the process of generating a secure link (or invite) that allows another agency or sub-account to import a curated package of assets—funnels, workflows, forms, templates, and more from your HighLevel account. Understanding how sharing works ensures you pick the right link type, protect your intellectual property, and streamline onboarding.

  • Sharing provides recipients a way to import the Snapshot into their own agency/sub-account.

  • Some link types allow one-time use, while others are permanent or restricted to specific recipients.

  • Assets Protected Snapshots stop recipients from duplicating or re-sharing protected content.

Key Benefits of Snapshot Sharing

  • Speed of deployment: roll out proven funnels, automations, and settings in minutes across many accounts.

  • Consistency: eliminate configuration drift by distributing standardized builds.

  • Control: choose link types that fit each scenario—single-use, permanent, or restricted.

  • Protection: lock down high-value assets with Assets Protected Snapshots.

  • Scale for SaaS: auto-provision new SaaS signups with a preselected default snapshot.

How To Share a Snapshot

Follow these steps from the Snapshots list to produce the right type of share link and distribute it to recipients.

Note: It is important to refresh the Snapshot before pushing updates to connected sub-accounts. After pushing the updates, you will have the option to choose which updates to bring over.

  1. Go to Agency View → Account Snapshots > My Snapshots.

  2. Locate your snapshot and click ⋯ three dots → Share Snapshot.

  3. Choose a Share Option:

    • Permanent Link: generates a reusable link for repeated imports.
    • One-Time Link: generates a single-use link you send directly.

    • Email Link: Single use link sent via email.

    • Agency-Restricted: enter the partner agency’s relationship number.

    • Sub-Account Restricted: select the exact destination sub-account.

    • Marketplace Share Link: Used as the backend URL for your Marketplace App.

  4. Toggle Assets Protected to prevent copying/re-sharing of protected content. (Optional)

  5. Click Get Link.

  6. Copy the link and share it with the intended recipient(s).

Picking the correct link type prevents accidental reuse, limits exposure, and matches real-world sharing needs.

Link TypeWho Can ImportReuse/Behavior
Permanent Link
Anyone with the URL
Unlimited imports; stays active until you manually revoke or delete snapshot.
One-Time Share LinkAnyone with the URL (until first import)Expires after a single successful import; you must generate a new link for each new buyer/client.
Email LinkEmail recipients
Functionally same as a one‑time link, but delivered via email; can be used from the email by any agency owner logged into GHL.
Agency-Restricted LinkOnly agencies whose relationship ID you listUnlimited imports, but only into the specified agency accounts; you can list multiple relationship numbers.
Sub-Account Restricted LinkOnly the exact sub-accounts specifiedSingle destination; only that specific sub‑accounts can import from that link (no cross‑agency reuse).
Marketplace Share LinkAny buyer via GHL App Marketplace listing
Used as the backend URL for your Marketplace “app”; IP protection is on by default so assets are harder to resell; imports are controlled by Marketplace licensing.

Frequently Asked Questions

Q: Are all link types available on all three HighLevel plans ($97/$297/$497)?

Yes, all link types are available on every plan tier.

Q: If I share a snapshot with agencies outside of my own and later make updates to it, will those changes be reflected or automatically updated in the snapshot previously shared with other agencies?

No, regardless of your share options (1-4), snapshots are always considered clones of a specific sub-account at a specific moment. Therefore, any updates made to a snapshot will not be automatically reflected in previously shared snapshots.

Q: How can I update a snapshot for sub-accounts within my agency?

To update a snapshot for sub-accounts within your agency, you need to follow these steps:

  • First, update the Snapshot with the desired changes.
  • Next, push the updated Snapshot to the linked sub-accounts within your agency.

Q: How should I update a shared snapshot using share options 1, 2, and 3 from above to agencies outside of mine?

If you have shared a snapshot using share options 1, 2, or 3, and you want to update it, follow these steps:

  • Refresh or update the existing snapshot with the desired changes.
  • Re-share the NEW snapshot URL with the agencies involved.

It's important to note that generating a new Snapshot URL will invalidate the previous one. Therefore, ensure that you share the new URL for the updated snapshot.

To share a new snapshot with agencies using 'Sub-account' or 'Agency' restricted share links, follow these steps:

  1. Refresh or update the current snapshot with the desired changes.
  2. Go to the snapshot share modal and select the 'Sub-account' or 'Agency' restricted share link.
  3. Enter all the existing and new 'sub-account' or 'Agency' relationship numbers.
  4. Click on 'share' to generate a new snapshot URL.
  5. Share this new URL with the agencies involved, as the old URL will no longer work.

Q:I shared my snapshot and did not see the 'New' items. What happened?

If you shared a snapshot and did not see the 'New' items, you may not have updated the existing snapshot before sharing it. Remember that snapshots are copies of a specific account at a specific point in time.

To include the 'New' items in the shared snapshot, you need to follow these steps:

  • Update the existing snapshot to include the 'New' items.
  • Re-share the updated snapshot or push the update to the relevant sub-accounts.
