HighLevel Meetings: Reusable Links for One-Time & Recurring Calls

Use a single meeting link for all your sessions — no more creating new URLs, resending invites, or managing expired links.
What You'll Learn

Meetings is HighLevel's native video meeting experience built on reusable links. Instead of generating a new URL for each call, you create one link and use it across multiple sessions — whether that's a single consultation or a year-long coaching series.

This guide covers how reusable links work, the benefits of one-time and recurring meetings, and how to set up a Meeting that your clients or team can join from the same URL every time.

1

What is Meetings?

Meetings is HighLevel's native, link-based meeting experience that lets you create a reusable URL for live video sessions, instead of generating a new link every time you meet. It's designed for coaching calls, client check-ins, team huddles, and any recurring touchpoint where you want a simple, consistent way for people to join.

Under the hood, Meetings uses HighLevel's real-time video capabilities (the same foundation that powers Interactive Video Rooms and other live experiences) so hosts and attendees can see, hear, and collaborate in a browser without extra software.

2

Key Benefits of Meetings

Understanding the core benefits makes it easier to decide when to use Meetings versus a traditional calendar invite or third-party tool.

One link, every time — Share a single meeting URL with clients or team members and reuse it for every session, avoiding confusion with constantly changing links.
Supports both one-time and recurring sessions — Use the same experience for a single strategy call or a weekly coaching program, without changing the link from one meeting to the next.
Ready whenever you are — Hosts can start a meeting at any time, and attendees join from the same link—no extra configuration or re-creation required.
Frictionless attendee experience — Guests simply click the link, wait for the host to start (if they're early), and join instantly once the room opens.
Clear meeting history — Past sessions are tracked in one place so you can see when you met, how long sessions ran, and who attended—supporting better follow-up and record-keeping.
Fewer tools to manage — Because Meetings is native to HighLevel's video stack, you can rely less on external meeting providers and keep more of your workflow in one system.
3

Reusable Meeting Links

Reusable meeting links give you a persistent "room" that can be opened and closed as often as you like, without generating a new URL for each call. This solves one of the biggest sources of meeting friction: guests not knowing which link is the right one.

When you create a Meeting:

  • HighLevel generates a single URL you can reuse indefinitely.
  • You can share it once with your clients, students, or internal team.
  • The same link works for today's call, next week's follow-up, and future check-ins or office hours (as long as you continue to use that meeting space).

In contrast, many calendar-based tools generate a new meeting URL for each occurrence in a recurring series by default, which can lead to multiple different links being used over time. Meetings is intentionally designed to behave more like a persistent room: one address, many sessions.

Practical Examples of Reusable Links
  • A coach runs "Client A – Weekly Coaching Room" and sends that one link at onboarding.
  • An agency runs "Design Team Standup" and pins the link in Slack or a community.
  • A consultant adds the same link into multiple reminder emails, funnels, and automations.

4

One-Time & Recurring Meetings

One-time and recurring options let you match how you actually work—whether that's a single strategy session or a long-term series with the same group. Meetings applies the same philosophy HighLevel uses for recurring calendars and webinars to live calls.

One-Time Meetings
Single Sessions or Events

Ideal for single consultations, onboarding calls, audits, or special events. You still benefit from a clean, reusable link if you decide to meet again in the future, but you organize it as a single occurrence.

Recurring Meetings
Ongoing Series with One Link

Perfect for weekly syncs, cohort coaching, mastermind groups, or ongoing client retainers. All sessions in the series use the same Meeting link, giving your audience a consistent place to show up—similar to how recurring webinars use one broadcast URL across the series.

By separating the link from the schedule, Meetings lets you update appointment times, adjust cadence, or change reminders without having to regenerate or replace the core URL.

5

Start Anytime, Join Instantly

Start-anytime behavior makes Meetings feel less like a fragile calendar invite and more like a dedicated "room" that's always ready when you are.

Hosts can start at any time — Open the Meeting from your chosen entry point in HighLevel. There's no strict dependency on a calendar start time before the room can be used.
Attendees join from the same link — Participants click the URL and are guided into the live Meeting experience. The underlying video room uses HighLevel's real-time video engine, so multiple participants can collaborate with audio, video, chat, and other interactive controls.
No repeated configuration — You don't need to re-set host controls or reconfigure the room each time you meet. As with Interactive Video Rooms, the same environment can be reused call after call.
This Flexibility is Especially Helpful For:
  • Ad-hoc check-ins (e.g., "Can we jump into our usual Meeting link?")
  • Office hours where the host may start slightly early or late
  • Internal teams who want a standing "war room" or daily standup link
6

Simple, Frictionless Joining

The joining experience is designed so that both tech-savvy and non-technical users can get into the room with minimal effort.

Attendees only need the link — No need to create an account with a third-party tool. No app downloads required when joining from modern browsers, similar to other HighLevel live video experiences.
Clear state before the host arrives — If participants click the link early, they'll see clear guidance that the meeting hasn't started yet instead of an error or expired-link message. Once the host starts the Meeting, attendees can join instantly from the same page.
Consistent expectations — Because the link doesn't change from session to session, attendees can bookmark it, save it in notes, or pin it in a shared channel.
Tip

You can combine Meetings links with your existing HighLevel tools—for example, sending links via email/SMS campaigns or including them in membership areas and Communities posts where live sessions are expected.

7

Track Your Meeting History

Meeting history helps you keep a record of what has already happened so you can follow up effectively, analyze engagement, and maintain an audit trail when needed.

View past sessions in one place — See a list of completed sessions tied to a specific Meeting link. Quickly scan which days you met and which sessions ran as scheduled.
Review session details — Check high-level information such as session duration and participation. Align this data with your notes, CRM interactions, or billing records.
Support analytics and compliance — HighLevel's live-video infrastructure tracks metrics like participant counts and join/leave timestamps, which are used for reporting and resource protection across live video features. Meetings can take advantage of these capabilities to provide more accurate usage and engagement information over time.

This visibility is especially important for recurring programs where you want proof of delivery—for example, coaching packages that promise a certain number of sessions or internal training meetings that need attendance logs.

8

Built to Just Work

The main goal of Meetings is to remove the hidden "link management" work that often sits between you and a smooth call.

Key Behavior 1
Links Don't Automatically Expire

Unlike one-time links that are specifically created to be used once and then disabled, Meeting links remain usable for future sessions so long as you keep using that Meeting.

Key Behavior 2
Recurring Meetings Stay Available Long-Term

The same URL works across multiple sessions, so you don't have to recreate or rotate the meeting link every week or month.

Key Behavior 3
Fewer Broken or Outdated URLs

Because the link is persistent, guests are far less likely to click an old calendar invite with a now-invalid URL or end up on an error page because a previous occurrence has passed.

Key Behavior 4
Plays Nicely with Calendars and Policies

You can still use HighLevel calendars, cancellation/reschedule rules, and notifications to manage when people meet with you, while pointing all of those reminders to a single Meeting link. This combination—persistent links plus HighLevel's scheduling tools—gives you both reliability (the room always works) and control (you still decide who can book and when).

9

How to Access Your Personal Meeting URL

Every user in HighLevel automatically gets a personal Meeting URL that you can share with clients or team members. This reusable link allows others to join your meetings without needing to create new URLs for each session.

Step 1
Navigate to Account Settings
  • In the left navigation menu, go to Memberships.
  • Click on the Communities tab at the top of the page.
  • Select the community where you want to access your meeting settings.

  • Click on your profile icon (usually in the bottom-left corner) and select Profile Settings.

Step 2
Go to the Meeting Section
  • In the Account Settings sidebar, click on Meeting.
  • You'll see a section titled "Your Meeting URL" with your personal, reusable meeting link.

Step 3
Copy and Share Your Meeting Link
  • Click the Copy icon next to your Meeting URL to copy it to your clipboard.
  • Share this link with clients, team members, or anyone you want to meet with.
  • You can use the same link for all future meetings—no need to generate new URLs for each session.
Tip

Add your personal Meeting URL to your email signature, calendar invites, or automated workflows so clients always have an easy way to join your meetings.

Step 4
View and Manage Your Meeting Recordings
  • In the same Meeting section, you'll see a Recordings card.
  • Click View recordings to review and manage recordings from your personal meetings.
  • This is helpful for reviewing past sessions, sharing replays with attendees, or keeping records for compliance or training purposes.

Frequently Asked Questions

Q: Does the Meeting link ever expire automatically?
Meeting links are designed to stay valid across multiple sessions and do not automatically expire when a call ends, unlike one-time links that are intentionally designed to be used once and then disabled. If HighLevel introduces link-expiration rules for Meetings in the future, they will be documented in the product and support articles.
Q: Can I use Meetings instead of Zoom or Google Meet?
Yes. Meetings uses HighLevel's native real-time video infrastructure (Media Core), which supports multi-participant collaboration and live broadcasts without external licenses. You can still integrate external providers if you prefer, but Meetings helps reduce tool sprawl.
Q: How do reminders and follow-ups work with Meetings?
The Meeting link itself doesn't send reminders. You'll continue to use HighLevel calendars, workflows, and automations to send confirmation, reminder, and follow-up messages—simply include your Meeting link in those templates so every touchpoint directs to the same URL.
Q: Can I use the same Meeting link for different clients or groups?
Yes, technically any attendee with the link can join. In practice, you'll usually create different Meetings for distinct audiences (e.g., one for internal team standups, another for a specific coaching group) so that history and access are scoped appropriately.
Q: How does Meeting history relate to analytics and usage?
Meeting history gives you a convenient view of past sessions. Behind the scenes, HighLevel's live video engine also tracks analytics like connection minutes, participant counts, and join/leave timestamps, which are used for reporting and resource protection across live video features.
Q: Do recurring Meetings work like recurring webinars and appointments?
Conceptually, yes. Just as recurring webinars and recurring appointments tie multiple occurrences to a single registration or meeting link, recurring Meetings let you hold many sessions using the same persistent URL, while your scheduling layer controls when people are invited to join.
Q: What if I need a one-time link that truly can't be reused?
For highly controlled access (for example, a one-off VIP booking where the link shouldn't work again), you can still use HighLevel's existing One Time Link feature for calendars, which generates a unique link that expires after booking. Meetings is optimized for reusable links and ongoing relationships.
Q: Are Webinar Mode, Co-Host Support, and in-meeting recording controls available now?
Not yet. These capabilities are planned enhancements for Meetings and HighLevel's broader live-video stack. Today you can already use recording and replay for many live video experiences, and more granular in-meeting controls and webinar-style formats will be rolled out and documented as they become available.
