Documents & Contracts lets you add recurring and one-time products directly to a document, making it easier to combine agreements, pricing, and invoicing in a single experience. This article shows you how to add and configure recurring and one-time products in Documents & Contracts, manage optional product selections, and set up the appropriate invoice frequency and billing schedule.

What are Recurring Products in Documents & Contracts?

Recurring products let you include services, subscriptions, memberships, retainers, or other products that require repeat billing directly within a HighLevel document or contract. Adding these products to a product list connects the agreement with the appropriate recurring invoice schedule, helping you manage the signing and billing experience from the same document.

Recurring products can be combined with one-time products in the same product list. HighLevel distinguishes between the different price types so one-time charges are collected once while recurring products continue according to their configured billing schedule.

For example, an agency can include a monthly social media management service as a recurring product and an onboarding fee as a one-time charge in the same contract.

How to Use Recurring Products in Documents & Contracts

Properly configuring the product list ensures HighLevel can distinguish between one-time and recurring charges and generate invoices according to the recipient's selections. You can add products, configure optional-item behavior, and define the recurring billing schedule directly within the document or template.

  1. Navigate to Payments → Documents & Contracts.

  2. Create a new document or open an existing document. To configure a reusable document template, open Documents & Contracts → Templates and create or edit a template.

  3. In the document editor, add a Product List.

  4. Click Add an Item, then select the product you want to include.

  5. Select the appropriate price when multiple prices are available for the product. HighLevel identifies whether the selected price is one-time or recurring.

  6. Add any additional one-time or recurring products required for the agreement.

If a recurring product has a setup fee, the setup fee appears separately from the recurring product charge.

  7. Configure the available product properties as needed. Depending on the product and document configuration, you can:

    • Adjust applicable pricing settings.
    • Mark the product as an Optional Item.
    • Allow the recipient to edit the quantity.
    • Configure applicable taxes.

  8. If you want recipients to choose between products, mark the appropriate one-time and recurring products as optional.

When the recipient completes the document, HighLevel uses the frequency of the products they actually select. Selecting only one-time products results in a one-time invoice, while selecting a recurring product creates the applicable recurring invoice schedule.

  9. Configure the recurring invoice settings for the product list. Define when the recurring invoice should begin and the frequency at which it should repeat.

Depending on the available configuration, recurring schedules can be based on frequencies such as daily, weekly, monthly, or yearly.

  10. Configure when invoice generation should begin. You can use the available document and invoice scheduling options to align billing with the signing or completion of the document or with the configured schedule.

  1. Configure an end condition when the recurring billing should not continue indefinitely. For example, a schedule can be configured to end after the required number of occurrences where supported by the selected recurring configuration.

  1. Review the product list and confirm that each product has the correct price type, optional-item setting, quantity, taxes, and recurring schedule.

One-time and Recurring Product Behavior

When a product list contains a mix of optional recurring and one-time products, HighLevel respects the frequency of the products the recipient selects:

  • If the recipient selects only one-time products, HighLevel generates a one-time invoice. A recurring invoice schedule is not created simply because an unselected recurring product exists in the product list.

  • If the recipient selects a recurring product, HighLevel generates the applicable recurring invoice schedule based on its configuration.

  • If the recipient selects both one-time and recurring products, the one-time charges apply once, while recurring products continue according to the recurring schedule.

This prevents one-time-only selections from appearing unnecessarily under recurring invoices and keeps the resulting invoice consistent with the recipient's choices.

Frequently Asked Questions

Q: What happens if a recipient selects only one-time products when recurring products are also available?

If the recurring products are optional and the recipient selects only one-time products, HighLevel generates a one-time invoice. An unselected recurring product does not cause the invoice to be treated as recurring.

Q: Will an optional recurring product create a recurring invoice if the recipient does not select it?

No. When the recipient selects only one-time optional products, the resulting invoice is one-time. Recurring billing applies when a recurring product is part of the recipient's selection.

Q: What happens if a recurring product has a setup fee?

The setup fee is displayed as a separate one-time line item from the recurring product. This allows the initial charge to include the setup fee without adding that fee to every subsequent recurring invoice.

Q: Are one-time products charged again on future recurring invoices?

No. One-time products are charged once. Only recurring products continue onto subsequent invoices generated by the recurring schedule.

Q: Can recipients choose which products they want to purchase?

Yes. Products can be configured as optional so recipients can select or deselect eligible items. Quantity editing can also be enabled when you want recipients to control how many units they purchase.

Q: Can I use recurring products inside a Documents & Contracts template?

Yes. Product lists and their recurring invoice configuration can be added to templates, allowing you to reuse the setup when creating and sending future documents.

Q: Where can I manage invoices generated after a document is signed?

Invoices generated through Documents & Contracts can be tracked from the relevant Documents & Contracts and invoice areas in HighLevel, depending on the invoice and document workflow you configured.
